Appointment & Office Policies

We strive to provide timely, expert care to every patient. The following policies help us run efficiently and serve our full patient community. Please review them before your visit.

Cancellation & Rescheduling

We ask that you notify our office at least 24 hours in advance if you need to cancel or reschedule your appointment. This allows us to offer your time slot to another patient on our waiting list.

To cancel, please call 251-650-5437 during office hours. If you need to cancel after hours, you may leave a voicemail — however, please note that for certain appointment types (see below) a voicemail alone may not be sufficient.

Missed Clinic Appointments

A $35 fee will be charged for missed clinic appointments when adequate advance notice has not been provided. This fee represents a missed business opportunity and is billed directly to the patient — it is not submitted to insurance.

Patients may opt in to receive text or email appointment reminders; however, our cancellation policy remains in effect regardless of whether a reminder was received.

New Thyroid Eye Disease Patients

New patient appointments for Thyroid Eye Disease require significant advance preparation by our staff. If you need to reschedule, please speak directly with a staff member — a voicemail message alone is not sufficient for these appointments.

Patients who miss a scheduled thyroid eye disease new patient appointment without prior direct notification will not be re-booked.

This policy exists to ensure timely and effective service for all patients on our schedule.

Missed Surgery Appointments

A $100 fee is charged for missed surgery appointments without 24-hour advance cancellation notice. As with clinic fees, this charge is billed directly to the patient and is not submitted to insurance.

Surgical slots involve coordination with the operating facility, anesthesia, and our staff team. We ask that you notify us as early as possible if circumstances change.

Payment & Insurance

Co-pays and any patient-responsibility balances are collected at the time of service. We accept most major insurance plans, Medicare, and Medicaid. Please bring your insurance card and a valid photo ID to each visit.
